Privacy Policy

This policy covers the chatline.app marketing website only — including the contact form, cookies, analytics, and advertising tools used on this site. It does not cover the processing of end-member data inside the ChatLine product; that relationship is governed by a separate Data Processing Agreement (DPA) with each studio customer.

1. Controller

The controller within the meaning of the GDPR is HeyHo Systems GmbH, Kurfürstenstr. 9b, 31275 Lehrte, Germany. Email: hey@heyhosystems.com.

2. Server log files

When you access this site, our hosting provider (Vercel Inc., USA — operating under the EU–US Data Privacy Framework) automatically records technical information your browser transmits: IP address (shortened before storage), date and time of the request, requested URL, HTTP status, referrer URL, browser and operating system. This data is used solely for security and operational monitoring and is retained for no longer than 14 days. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in a secure, functioning website).

3. Cookies

This site sets only strictly necessary cookies required for locale detection (e.g. NEXT_LOCALE) and session continuity. These do not require consent. Analytics and advertising cookies (see below) are only set after you actively consent through the cookie banner.

4. Analytics and advertising

We may use analytics and conversion-tracking tools (for example Google Analytics 4, Google Ads, Vercel Analytics) to understand how visitors find and use this site. These tools may set cookies and process personal data including your IP address. They are only activated after you give consent via our cookie banner. Legal basis: Art. 6(1)(a) GDPR (consent). You can withdraw consent at any time via the banner's settings. When Google services are involved, data may be transferred to Google LLC in the USA under the EU–US Data Privacy Framework.

5. Contact / Request-Demo form

When you submit the contact form, we process the data you enter (name, email, phone, optional message) to respond to your inquiry. This data is transmitted to our internal Slack workspace via a webhook. We retain the conversation for as long as needed to handle your inquiry and for up to 24 months afterward for follow-up; after that, it is deleted or anonymised. Legal basis: Art. 6(1)(b) GDPR (pre-contractual measures) and Art. 6(1)(f) GDPR (legitimate interest in responding to inquiries).

6. Your rights

You have the right, under the GDPR, to:

  • access your personal data (Art. 15)
  • have inaccurate data corrected (Art. 16)
  • have your data erased (Art. 17)
  • restrict processing (Art. 18)
  • receive your data in a portable format (Art. 20)
  • object to processing based on legitimate interest (Art. 21)
  • withdraw consent at any time, with effect for the future
  • lodge a complaint with a supervisory authority (e.g. the State Commissioner for Data Protection of Lower Saxony)
